Privacy Policy

Last Updated: January 15, 2025
Effective Date: January 1, 2025

We built UltraNexora to help businesses communicate better online. Part of that means being straightforward about how we handle your information. This policy explains what we collect, why we collect it, and what you can do about it. We've tried to keep the legal jargon to a minimum because nobody enjoys reading that stuff.

1Information We Collect

Running a web content service means we need certain information to do our job properly. Here's what we gather and why it matters.

Information You Give Us Directly

When you reach out or sign up for our services, you share details with us:

  • Your name and business contact information (email, phone number)
  • Business address and company details
  • Website preferences and content requirements
  • Payment information when you become a client
  • Any content, images, or materials you provide for your website

Information We Collect Automatically

Like most websites, ours collects some technical data when you visit:

  • Browser type and device information
  • IP address and general location data (city/region level)
  • Pages you visit and how long you spend on them
  • Referring websites and search terms that brought you here

Note on Taiwan Compliance: We operate under Taiwan's Personal Data Protection Act and take our obligations seriously. Your data stays protected according to local requirements, and we're transparent about international transfers when they happen.

2How We Use Your Information

We're not in the business of selling data or sending you endless marketing emails. Here's what we actually do with your information:

Service Delivery

  • Creating and managing your website content
  • Communicating about your project status and updates
  • Processing payments and maintaining billing records
  • Providing technical support when you need it

Business Operations

  • Improving our services based on how clients use our platform
  • Analyzing website performance to identify issues
  • Protecting against fraud and unauthorized access
  • Meeting legal obligations and responding to valid requests from authorities

Communication

We'll send you emails about your project, important service updates, and occasionally information about new features that might help your business. You can opt out of the non-essential stuff anytime.

3Data Storage and Security

Keeping your information safe isn't just good practice. It's fundamental to what we do.

Where Your Data Lives

We host our services on secure cloud infrastructure with data centers that maintain high security standards. Your website content and business information are stored with encryption both in transit and at rest.

Security Measures

  • SSL/TLS encryption for all data transmission
  • Regular security audits and vulnerability assessments
  • Access controls limiting who can view your information
  • Secure backup systems with encrypted storage
  • Staff training on data protection practices

Reality Check: No system is completely bulletproof. We work hard to protect your data, but if something goes wrong, we'll let you know promptly and clearly what happened and what we're doing about it.

4Sharing and Disclosure

We don't sell your information. Full stop. But there are situations where we share data with others to provide our services.

Service Providers

We work with other companies that help us run our business:

  • Cloud hosting providers for infrastructure
  • Payment processors for billing (they handle card data, not us)
  • Email service providers for communications
  • Analytics tools to understand website usage

These partners are bound by contracts to protect your information and only use it for the specific services they provide to us.

Legal Requirements

Sometimes the law requires us to share information. This happens when:

  • We receive a valid legal request from Taiwan authorities
  • We need to protect our legal rights or comply with regulations
  • There's a genuine emergency involving someone's safety

We review all requests carefully and only provide what's legally required.

Business Transfers

If UltraNexora is acquired or merges with another company, your information would likely transfer as part of that deal. We'd notify you beforehand and explain any changes to how your data is handled.

5Your Rights and Choices

This is your data. You should have control over it. Here's what you can do:

Access and Portability

You can request a copy of the personal information we hold about you. We'll provide it in a readable format within 30 days. If you want to move your website to another provider, we'll help with that transition.

Correction and Updates

Found an error in your information? Let us know and we'll fix it. You can update most details yourself through your client portal, or just email us.

Deletion

Want us to delete your data? We'll do it, with a few exceptions:

  • We need to keep financial records for tax purposes (7 years in Taiwan)
  • There's an ongoing legal matter requiring the information
  • We have legitimate business needs for specific data (we'll explain what and why)

Marketing Preferences

Every marketing email has an unsubscribe link. Use it anytime. We'll still send you essential service updates about your account, but the promotional stuff stops immediately.

Making Requests: To exercise any of these rights, email us at support@ultranexora.com. We'll verify your identity (to protect your data) and respond within 30 days. There's no charge for reasonable requests.

6Data Retention

We don't keep your information forever. Here's our general approach:

Data Type Retention Period
Active client account data Duration of service plus 2 years
Financial and billing records 7 years (tax compliance)
Website analytics 26 months
Support communications 3 years after last contact
Marketing contact data Until you unsubscribe, then deleted within 30 days

After these periods, we securely delete or anonymize the data. Backups get automatically purged according to our retention schedule.

7Cookies and Tracking

Our website uses cookies. They help us remember your preferences and understand how people use our site.

Essential Cookies

These keep the website working. They remember your login status and essential preferences. You can't disable these without breaking core functionality.

Analytics Cookies

We use these to understand visitor behavior and improve the website. They tell us which pages get the most traffic and where people tend to leave. This data is aggregated and anonymous.

Your Control

Most browsers let you control cookies through settings. You can block or delete them, though some features might not work properly afterward. Check your browser's help section for instructions.

8International Data Transfers

We're based in Taiwan, but the internet is global. Sometimes your data crosses borders.

Our cloud infrastructure may store data in facilities outside Taiwan. When this happens, we ensure these locations provide adequate protection through:

  • Contracts requiring equivalent data protection standards
  • Security measures meeting international best practices
  • Regular audits of data handling procedures

We don't transfer data to countries with weak privacy laws without proper safeguards in place.

9Children's Privacy

Our services are designed for businesses, not children. We don't knowingly collect information from anyone under 18. If you're a parent and believe your child has provided us with personal information, contact us immediately and we'll delete it.

10Changes to This Policy

We update this policy occasionally as our practices evolve or laws change. When we make significant changes, we'll notify active clients by email and post a notice on our website.

The "Last Updated" date at the top shows when we last revised this document. We recommend checking back periodically, though honestly, privacy policies don't change that often.

This version became effective on January 1, 2025

11Third-Party Websites

Our website might link to other sites we don't control. This privacy policy only covers UltraNexora. When you click on external links, you're subject to those websites' privacy practices. We encourage you to read their policies, though we know most people don't.

Questions About Privacy?

If something in this policy confuses you, or you have concerns about how we handle your information, reach out. We're here to help and we promise to respond in plain language.
